The Challenge

Before our intervention, the client’s truck repair workshop was an operational black hole. Their existing workflow consisted of exactly two touchpoints: "Job Received" and "Job Completed." Management had no visibility into actual labor hours, inventory was consumed without traceability, and returning vehicles had no centralized database to track recurring repairs or diagnose underlying fleet issues.

The Prodigy Solution

We engineered a highly tactile, low-friction workflow using our Frappe/ERPNext framework, tailored explicitly for rough workshop floor conditions:

  • Barcoded Job Cards: Every repair order now generates a physical and digital job card with a unique barcode for technicians to scan on the floor.
  • Granular Time Logs: Technicians seamlessly trigger Start, Pause, Resume, and Finish states, feeding real-time labor data into the ERP to calculate exact margins.
  • BoM-Driven Stock Delivery: Parts are no longer a free-for-all; they are requested and issued strictly based on the Bill of Materials (BoM) tied to the specific job card.

The Result

By eliminating manual data entry and enforcing strict system logic, the workshop achieved 100% stock traceability and accurate labor cost reporting in under 60 days. Parts are now mapped to exact customer invoices, and the newly established fault database allows management to identify recurring issues and offer predictive maintenance advice to fleet owners.
